Moving in Information


Collecting Keys


The keys will usually be available from the beginning of July. We do not send keys out by post for security reasons. If you have left Manchester at the end of June and will not be moving in until September, keys will be available when you return to Manchester or will be left with the first member of the group to arrive. When you receive your set of keys, do not mark the house number on them.


Keys may only be collected by advance appointment 9am to 5pm, Monday to Friday (excluding bank holidays).


Please email us to confirm receipt of this information and the attachments – keys cannot be handed out until you have done this. 

A copy of the tenancy agreement is available to be collected from the office.


Staying Over the Summer


Several days are needed to check over the property at the beginning of July. If you want to move in straight away at the beginning of July (or any time during July and August), we must know at least 10 days in advance. Full rent is payable over July and August if you live at the property.


Important Notice for Tenants Living in Properties during the Summer Retainer Period.


During this period, we clean, redecorate and do any jobs or repairs at the property. Please report emergencies only, not small items that will be attended to during the summer anyway.


Leaving Possessions over the Summer


Items left at the beginning of July can be put either in the basement areas or your rooms. Leave your belongings in boxes or bags clearly marked with your name and year. Do not leave any valuables and preferably take your bicycles home also.Possessions are left at your own risk.




It is very important to always use security features on the house particularly over the summer. Get into a routine whenever you go out of doing the following:


  • Close ground floor curtains
  • Leave at least one light on in the house and preferably a radio playing as well.
  • Lock all windows and ensure window locks are used.
  • Mortice lock all doors.
  • Set the security alarm if supplied.


We check unoccupied houses on a regular basis. If you have keys and are going to be staying in the house, let us know so we don’t shock you and you don’t shock us.


Council Tax Information

The landlord of the property does not pay the Council Tax; as the tenants of the property you are responsible for this. If you are all full-time students then your property will be classed as exempt from payment.


As students you will need to register the property for exemption which can be done via the Manchester City Council website at:


This needs to be done as soon as possible from the start of your tenancy. Try and do this in July/August.

Please ensure that you sign on with the utility providers to be operative from July 1st.


On this day we take gas and electric readings at all properties and you will be responsible for the standing charge and the energy consumed from this date. The electricity must be left on in the property as it is necessary to keep the fridge, freezer and burglar alarm functional. Card meters and prepayment meters are not allowed. Fridge and freezer units must be plugged in and left working even when you are away.


If you forget to contact the Utility providers, you might well return to a cold, dark house. (not applicable to bills inclusive properties).

Rent Cheques


Rent cheques are put into the bank on the morning of the 1st of the month (except weekends). If your funds are delayed, get in touch with us before the first and we can hold them for a few days. Cheques returned unpaid incur both bank charges and penalties.


Items Supplied


This is a general guide only, for specific properties please consult the inventory.


Bedrooms: Bed, wardrobe, chest of drawers, Shelves, desk (or table), chair, occasionally easy chair, mirror, small bin.


Lounge (if in the property): three piece suite or sofa/s, coffee table, TV table, sometimes dining table and chairs.


Kitchen: Fridge, freezer, cooker and microwave. All houses (some flats) have a washer/dryer or washing machine and separate dryer.


General: Light shades and curtains throughout, smoke alarms.


Items Not Supplied


Bedding, pillows, iron, kettle, toaster, small electrical kitchen appliances, crockery, cutlery, vacuum cleaner.

Dear Tenants, we hope you have enjoyed your stay in our accommodation. To ensure the speedy return of your deposit, please ensure:

Departure Date and Keys

Your tenancy terminates at 11 am on 30th June. A complete set of keys from each tenant MUST be returned directly to us, by this time, AT THE LATEST (including all window lock keys).

Label your set of keys and identify your room (i.e. Ground front, top middle etc.) Then place ALL the sets of keys together in a bag and arrange a time with us, in advance, to bring them to the office. You must directly hand the keys to us. We require a minimum of 24 hours notice.

When the entire group has left the accommodation, the premises are checked over.

You will also need to send us copies of your receipts to prove you have paid all final bills of electricity, telephone, waste water rates and council tax. You must inform the Utility providers that your tenancy is ending.

When we have received all receipts and bills from you, the deposits are sent back.

Each tenant should leave a stamped addressed envelope (first class) for the return of their deposit – brought to our office, when you drop off the keys.

Property Condition

Ensure that the property is left in the clean condition in which you found it: appliances in working order; all items as marked on the inventory; all rubbish removed to the dustbins; furniture restored to its original position; and all plugs, bulbs, lampshades etc. in place and working. The door closers should be left working and intact. The bedroom furniture must be left empty, then wiped clean, in each room and the carpets fully vacuumed. The cooker, oven, microwave and any other appliances should be fully cleaned out. The fridge and freezer should be defrosted and cleaned out. If there is a basement at your property, it should be left completely clear of any rubbish, or belongings (unless the new tenants) or furniture and brushed out.

Ensure that you take ALL your possessions and dispose of ALL rubbish. A labour charge will be deducted from your deposit for unnecessary inconvenience. Any tenant’s belongings left after the tenancy ceases, will be considered redundant and disposed of accordingly.

Vacuum Cleaner

No allowance will be made for premises left in an unclean condition due to a faulty vacuum cleaner. For any accommodation left in an overall unsatisfactory condition, contract cleaners will be brought in and their charges will be deducted from the tenants’ deposits.

We really appreciate you co-operating with these points which will both save you money and help the next tenants who may want to move in at once.

Meter Readings

Arrange to have your electricity meters read on the day before your departure. You must arrange this yourself. Usually they require seven days notice. Please note that you are responsible for paying the standing charge for electricity, and the full charge for Council tax and Waste water Rates until the 30th June, even if you leave early. We take meter readings at all properties on 30th June, so if you require the readings, please phone the office from the 4th July onwards.

Standing Order Payments to the bank

Please make sure you cancel your standing order with the bank. It is not a direct debit and we cannot give instructions to your bank.

Redirecting Mail

Please tell your likely correspondents of your impending change of address and also contact the post office to have your mail redirected. All mail for previous tenants is returned to the Post Office in bulk.


Please ensure that all items are removed from the property, other than the furniture and furnishings provided at the beginning of the Tenancy.

Please take toasters, kettles and irons with you. We are unable to leave any of your electrical items in the property for the next tenants, as they will require electrical certification. These items must be taken with you or they can be re-cycled, by you, if they are in working order. Phone 0161 257 2895

‘Give It Don’t Bin It’ End of Year Campaign

Manchester Student Homes is delighted to be working in partnership with colleagues from across The University of Manchester, Manchester Metropolitan University, Manchester City Council and The British Heart Foundation (BHF), as part of the award-winning campaign ‘Give It Don’t Bin It’. This campaign enables students and long-term residents to donate unwanted belongings at the end of the academic year.

Many of you will be receiving BHF donation packs, which will be delivered by student volunteers ready for students’ end of tenancies. These packs will contain information about how to donate, and donation bags. Several thousand packs are to be delivered and any donations will make a real difference to people living with heart disease.

The BHF packs will be distributed to the following streets:

We have a food collection bin located in the office and welcome any unopened, non-perishable food that you or your tenants wish to donate.

The Manchester City Wide Partnership running under the ‘Give It Don’t Bin It’ campaign won the 2018 Retail Charity Partner Heart Hero Award.
